Initial Submissions

The American School of Classical Studies at Athens publishes the following monographs: final reports of archaeological fieldwork conducted under School auspices; monograph supplements to Hesperia; Gennadeion monographs; and miscellaneous volumes relating to the work of the School.

Manuscripts should be submitted to the Director at the address above. Please submit a PDF and one printout of the manuscript that includes all elements (text, notes, references, illustrations); in some cases we may ask for additional hard copies to be mailed to our office. Do not submit original illustrations with the initial submission. Authors must include a completed and signed Checklist for Initial Manuscript Submissions (downloadable PDF). Manuscripts that are primary reports on material from excavations conducted under School auspices must be accompanied by a written recommendation from the appropriate field director. To the extent possible, manuscripts should be prepared in such a way as to maintain the anonymity of the author. Each submission should include an abstract of approximately 100 words to facilitate the review process.

Copies of the manuscript are sent to two outside referees and one member of the Publications Committee for review. When the referee reports have been received, they are distributed to the remaining Committee members. The Committee may decide to accept, reject, request changes in the manuscript, or seek the opinion of additional referees. Authors are advised as soon as possible, in writing, of the decision of the Committee and of the substance of the referees’ comments.

Revised Submissions

Authors of accepted manuscripts have up to six months to complete their revisions. Manuscripts that have been accepted “on condition of revisions” are reviewed by a member of the Publications Committee before being approved for publication. If revisions take appreciably longer than six months, the revised manuscript will be resubmitted to the formal review process, likely with different outside and Publications Committee readers. It is in the author's best interests to complete the revisions on time.

When a manuscript is approved for publication, the author will be asked to provide the final artwork, copies of any necessary permissions, and a revised version of the manuscript that incorporates all requested changes and conforms to the Guidelines for Authors (PDF format). A manuscript will not be accepted for production until all requested revisions, all illustrations, and all permissions have been received by the Publications Office. Once the revised manuscript has been accepted, no major changes to the text will be allowed.

One printed copy of the final manuscript and one electronic copy should be submitted. The printout and the electronic files must be identical in all respects. Both text and notes should be double-spaced, single-sided, and in a consistent font type and size (we prefer 12-point Times New Roman for English and KadmosU for Greek). Every page must be numbered consecutively, preferably in the upper right-hand corner. Margins of 1 in. (2.5 cm) should be left on all edges of the page. Create a separate electronic file for each component of the manuscript: front matter, caption list, chapter 1, etc. An accompanying cover letter should include a list of all electronic files submitted and the type of software used (including version). Authors must also include a completed and signed Checklist for Final Manuscript Submissions (downloadable PDF) and a completed Art Inventory Form (PDF: requires Adobe Reader XI (free) or Adobe Acrobat Professional 9 or higher). A printed version of the Checklist for Final Submission and/or the Art Inventory Form can also be requested from the .(JavaScript must be enabled to view this email address).

Production Process

An overview of our production process is provided below for the interest of authors.

A regularly updated list of books in production is provided on the Publications website. Authors can check the status of their accepted manuscript by checking this list, or by contacting the .(JavaScript must be enabled to view this email address).

Check in: The manuscript is checked for completeness, and images are checked for quality. Manuscripts not accompanied by a completed Checklist for Final Submission and Art Inventory Form will be returned. When “check in” is completed, the author will receive a letter formally accepting the manuscript for production and advising them of the production schedule.

Pre-Edit: Text is run through a series of Microsoft Word macros to separate notes, remove formatting that might later interfere with the typesetting software, and standardize basic stylistic conventions. Hard copy prints and transparencies are sent to be scanned.

Copyediting: A copyeditor works on the MS Word files, using the “track changes” function to indicate to the author where changes have been made. A “red-lined” version of the manuscript that highlights the editorial changes will be sent to the author for inspection before layout of the volume begins. This version of the manuscript should be returned in the time allotted, usually four weeks.

Typesetting: The text and images are laid out using Adobe InDesign. Standard templates are used for most ASCSA book series.

First Proofs: Formatted page proofs, with illustrations in place, will either be sent in hard copy or posted on the ASCSA website in PDF format (instructions for downloading the proofs will be provided). While authors may clarify and modify their text in minor ways at this point, no major revisions can be permitted. The formatted page proofs are also given to one or two proofreaders. When the marked-up proofs are received from the author and proofreader(s), they are collated on a single hard copy and the corrections are entered in the InDesign files. Authors are encouraged to use a standard set of proofreading marks. Proofs should be returned in the time allotted, usually four weeks.

A second printout is sent either to the author or a freelance indexer, for indexing.

Second Proofs: The Second Proofs include all the corrections made to First Proofs as well as any changes needed as a result of indexing. These proofs are checked in-house and can be sent to the author for approval. Unless there is some problem, Second Proofs are usually also considered Final Proofs.

Submission to the Printer: The book manuscript is sent to the printer, usually in the form of a PDF file. The printer will provide proofs to the Publications Office, but these generally will not be sent to the author.
